Responsibilities

• Manage day-to-day office needs while supporting scheduled facility maintenance, safety initiatives, and general administrative duties as required by the Operations Manager.
• Maintains physical and digital filing systems for facilities and site safety related documents.
• Manages outside vendors to ensure facility maintenance is performed on time and in compliance with accepted specifications
• Assist Sales and Operation teams with customer related documentation such as contracts.
• Schedules appointments, signs for incoming packages,
• Assists customers and other visitors during Bruker community outreach and information onsite events
• Drafts and edits letters, reports, and other documents related to facilities activities, safety incidents, and general office related topics.
• Maintain databases and spreadsheets such as facilities and office expenses, and attendance records and RSVPs for onsite events.
• Maintain general site safety information such as ensuring AED and First Aid materials are in stock and compliant.
• Assist Operations Manager and core team on the Expansion/New Building Project
• Manages calendars for senior staff, including making occasional travel arrangements for internal team and site visitors
• Prepares meeting agendas and takes meeting minutes.
• Coordinates logistics for high level meetings including room setup, video/conference call capabilities, and occasional catering.
• Manages maintenance of office equipment, including printers, copiers, and fax machines.
• Occasional support of Logistics team for ordering and inventory needs.
• Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
• General Project support where necessary
• Uses word processing and presentation software to create and edit documents.
• Maintain facilities and customer related correspondence when necessary.

Qualifications

Preferred Qualifications:
• Bachelor’s degree in business administration or related field
• Experience as Office Manager or Executive Assistant
• Experience with SAP, Concur

 

Requirements:
• Associate’s degree in a related field.
• Prior administrative experience.
• Excellent computer skills, especially typing.
• Attention to detail.
• Desire to be proactive and create a positive experience and culture for others.
• Ensures that deadlines are met and adapts to changing priorities.
• Ability to be versatile and fluid in exact day-to-day roles
• Presents a positive and professional image for the organization.

 

At Bruker, base salary is part of our total compensation. The estimated base salary range for this full-time position is between $73,000 and $108,000 provides an opportunity to progress as you grow and develop within a role. The base salary for the role will depend on a several job-related factors, including, but not limited to education, training, experience, the geographic location of the successful candidate, skills, competencies, job-related knowledge and travel requirements for this position. Full-time employees may also be eligible for a performance-related incentive in addition to a full range of benefits including 401(k) with company match, an employee stock purchase plan, medical and dental plans, life insurance, short-term and long-term disability insurance, employee assistance program and paid time off including vacation, sick time and holidays, and more.
